TERMS AND CONDITIONS OF ENTRY
APS CONDITIONS OF ENTRY
By submitting images to this Exhibition, the Entrant accepts the following terms:
a. Ensure that images comply with the Conditions of Entry, including all relevant definitions, the Exhibition organisers may ask the Entrant to provide originally captured images, with EXIF data intact, by a specified deadline.
b. If the Entrant does not supply the requested image(s) in the specified time those images will be deemed to be in breach of the Conditions of Entry.
c. Images that are submitted as requested may be investigated by any means determined appropriate by the Exhibition organisers to establish if image(s) comply with the Conditions of Entry.
d. Images deemed, by the Exhibition organisers, to breach the Conditions of Entry will be removed from the Exhibition. Any acceptances or awards allocated to those images will become void.
e. The Exhibition organisers will provide APS with details of all breaches of the Conditions of Entry. APS retains the right to impose sanctions on Entrants deemed to have repeatedly breached the Conditions of Entry of any APS Approved Exhibitions.
IMAGE AND ENTRY REQUIREMENTS
Entry is open to all photographers who are resident in the Commonwealth of Australia or its Territories and from financial APS members resident overseas. All overseas authors / co-authors must be financial members of APS.
Financial APS members resident overseas must provide their APS membership number.
THIS IS A DIGITAL EXHIBITION ONLY
The entry process is to; upload digital image files, title the image then pay the entry fee online at https://newcastlenational.myphotoclub.com.au.
IMAGE FORMAT
The maximum image file size is 1920 pixels horizontal and 1200 pixels vertical and 300 pixels. Maximum size of closed file is 2 MB. File format must be JPEG.
Images larger than the permitted size will be rejected at upload. Smaller images are permitted but will be projected smaller on screen.
If creating borders, these must be included within the dimensions shown above.
Nudity – Due to social sensitivities images containing nudes will not be accepted into this Exhibition.
Each Entrant may enter a maximum of four (4) images in each section. The same or substantially the same image cannot be entered in more than one section of this Exhibition regardless of image titles. Colour and monochrome images produced from the same image capture are considered the same image for this rule.
Print images accepted in previous Newcastle National Exhibitions of Photography, or images considered by the organising Committee to be substantially the same, will not be accepted in this Digital Exhibition.
Entries must comply with APS definitions athttps://www.a-p-s.org.au/ index.php/exhibition/definitions. Specific requirements will be detailed in the “DEFINITIONS” on the Newcastle Exhibition of Photography website.
ENTRY
An Entrant may submit a maximum of four (4) images into the same Section. Entry costs are discounted if submitting more than one image in a Section.
Entrants automatically agree to these terms by the act of entering the Exhibition. By virtue of submitting an entry, the entrant certifies the work as his/her own (aliases are not permitted).
NAMING IMAGES
Each image must have a unique title and should be given a title exactly as the Entrant wants it to appear in the catalogue. Image titles should be not more than 35 characters, including spaces and must use the English alphabet.
Image titles must not include file extensions such as “.jpg” or “.jpeg” or any other camera capture filenames such as “untitled” or “no title”. Titles must not consist solely of numbers.
The digital image title must have an identical name to the image file name. For example, an image titled “Golden Sunset” should have a file name “Golden sunset.jpg”.
DIGITAL JUDGING
Images will be displayed to the Judges at the size submitted. Judging will be conducted online via the myphotoclub platform and awards will be finalised via online video conferencing.
An Entrant’s images will not be presented to the judges consecutively. An Entrant’s images will be distributed throughout four rounds of judging in that section and submitted in the same order as entered.
The image title or author identification SHALL NOT be visible anywhere on the face of an image. Titles will not be announced at judging.
NAME OF ENTRANT
Entrants must use the name they have used for membership of the APS, or the name they intend to use when applying for honours from those or other photographic organisations.
OTHER CONDITIONS
Subject to APS rules, acceptances in this Exhibition are eligible for inclusion in applications for APS honours.
When submitting an entry, the Entrant must affirm, by selecting the check box on the entry form, as having read the Newcastle National’s Conditions of Entry. If the Entrant does not affirm having read the COE, the entry will not be accepted.
Judge Entry: Judges may not enter any Section that they are judging but they are eligible to enter sections they are not judging in the same exhibition or any sections in other exhibitions in the Circuit.
Chair Entry: The Chair of the Exhibition may not enter any section in the Exhibition. Neither can any other person enter any section if they have access to the images prior to the judging.
Breaches of Rules: If, at any time, it is determined in the reasonable discretion of the exhibition organiser or the judges before, during, or after the judging of an exhibition that an entrant has submitted entries where one or more images may fail to comply with these Conditions of Entry, including the stated definitions, the exhibition organisers reserve the right to delete the entry from the exhibition and void any or all acceptances or awards in connection with the exhibition. Fees may be forfeited or refunded in these circumstances. The entrant acknowledges that the decision of the exhibition organisers or the judges is final.
If an Entry is submitted by a third party on behalf of the Entrant, the Entrant shall still be held liable for full compliance to these Conditions of Entry, including certification that all work is the Entrants.
The Entrant permits the sponsors to reproduce all or part of the entered material free of charge for publication and/or display in media related to the Exhibition. This may include low resolution posting on a website.
Award winners will be asked to submit a high-quality image file to allow production of a print that will be exhibited beside the digital display. Prints will be professionally produced by the Exhibition’s organising Committee. Prints will be destroyed after showing.
Note: Entrants who indicate that their images may not be reproduced or used may not be eligible for awards or inclusion in audio-visuals of the Exhibition and could be subject to disqualification by the Exhibition sponsor.
By submitting an entry, the Entrant certifies that in the process of capturing the image as follows:
- The welfare of the subject is more important than the photograph. This means that practices such as baiting of subjects with a living creature and removal of birds from nests, for the purpose of obtaining a photograph, is highly unethical, and such photographs are not eligible for acceptance.
- The purpose of this policy is to prevent any interference with other individuals or animals which will or may cause a disturbance in their normal activity or disrupt the way any individuals or animals interact with their environment. Entry in this exhibition requires exhibitors to agree to this Exhibition.
Authenticity: With the sole act of submitting images or files to a salon under Patronage, the Entrant accepts without exception and with no objection that the submitted images can be investigated for authenticity. It is recommended Entrants leave the EXIF data in the submitted files intact to ease eventual investigations.
Copyright: The copyright of each image entered always remains with the author of the image. The Exhibition assumes no liability for any misuse of copyright. Note: The Exhibition’s organising Committee reserves the right to check all accepted images for copyright violation.
Image alteration and computer generation: Except for the restrictions on Nature images described in the Nature definition, images may be altered, either digitally or otherwise, by the Entrant. Images may not be constructed entirely with a computer and all photographic components must have been photographed by the Entrant who holds copyright of the complete works submitted.
All entries shall conform to the Organisations granting recognition or patronage.

CATALOGUE
A free downloadable pdf catalogue will be available no later than 31 January 2022.
Acceptance Certificates will be available for download by following the link on emailed report cards.

DATA PROTECTION
By entering this Exhibition, you are explicitly consenting to the personal details you have supplied, including email addresses, being held, processed, and used by the Exhibition organizers for purposes associated with this Exhibition. You also explicitly consent to such information being sent to organizations that have accorded official recognition, patronage, or accreditation to this Exhibition. You acknowledge and accept that entering this Exhibition means that the status and results of your entry may be made public.

The Entrant may opt out of the process by notifying newcastlenational@gmail.com, however, opting out of this email list before the Exhibition catalogues are posted may result in the Entrant not receiving important information about the Exhibition.
